Use This Sequence on Every Call

  1. 01

    Open Strong

    Answer promptly, use a warm tone, identify yourself, and set a helpful pace for the call.

    Good morning, this is [Name]. How may I assist you today?
  2. 02

    Listen First

    Let the customer explain without interruption. Capture the order number, product, issue, and requested outcome.

    Just to make sure I understand correctly, you’re calling about...
  3. 03

    Clarify the Issue

    Ask targeted questions so the resolution goes to the right path the first time.

    Can you tell me what happened after you tried that step?
  4. 04

    Resolve or Route

    Use the correct macro, article, tracker, or escalation sheet. Explain only what the customer needs to know.

    Close Cleanly

    Recap the action taken, set the expectation, thank the customer, and offer final help.
